Terms and conditions

Last updated: 29 October 2026

This is a translation for your convenience. The Dutch text is binding and prevails if there is any difference.

In short

  • You pay 25% within 7 days. You pay the rest at the latest 6 weeks before departure.
  • You cancel by email. Someone else may take your place.
  • If nobody takes your place, you pay the trip price. Unless we can cancel parts for free.
  • We recommend travel and cancellation insurance.
  • We arrange an interpreter.

1. Who we are and when these terms apply

1.1Deaf Football Travel (Dutch Chamber of Commerce no. 85745014, info@deaffootballtravel.nl, +31 6 20 50 54 02) organises football trips for deaf and hard-of-hearing people.

1.2These terms apply to all offers, bookings and agreements of Deaf Football Travel. Deviations only apply if we have confirmed them in writing or by email.

1.3In these terms "you" means the participant: the person who books or travels on a trip. The "trip price" is the price of the trip per person.

1.4What is included in a trip (for example transport, hotel, match ticket, interpreter and activities) is stated in the offer for that trip. Activities differ per trip.

1.5If we combine transport and accommodation, this may be a package trip. In that case the statutory rules for package travel also apply. Mandatory legal rules always prevail over these terms.

2. Offer and booking

2.1Our offers are non-binding unless they state a period for acceptance. Obvious errors or mistakes in an offer do not bind us.

2.2The agreement is formed when we confirm your booking in writing or by email.

2.3Check the confirmation immediately. If anything is wrong, tell us within 24 hours. Changing a name or flight may lead to extra costs from the supplier. Those costs are for your account if the error is in the details you gave us.

2.4Anyone who books a trip on behalf of or for others is jointly and severally liable for the obligations arising from that booking.

2.5We book components such as flights and hotels with suppliers. If we cannot reserve a booked component, we may end the agreement within two working days after your booking. You will then receive everything you paid back within 5 working days.

2.6We are not responsible for photos, brochures and other information published by third parties.

3. Price and payment

3.1The trip price applies per person and includes any VAT and our service costs, unless the offer states otherwise.

3.2After your booking the trip price does not increase, not even because of higher fuel costs, taxes, levies or exchange rates.

3.3Within 7 days of our confirmation you pay a deposit of 25% of the trip price. This reserves your place.

3.4You pay the remainder at the latest 6 weeks before departure. The invoice or confirmation states the exact date. If you book within 6 weeks of departure, you pay the full trip price within 7 days.

3.5If you do not pay on time, we will send you a reminder. If you have not paid 7 days after that reminder, we will send a formal demand with a payment period of 14 days. After that we may charge 10% of the outstanding instalment as costs, plus statutory interest. We only charge collection costs within the limits of the law.

3.6If you still do not pay after the demand, we may terminate the agreement with immediate effect and give your place to someone on the reserve list. What you have already paid will be set off against what you owe us under article 8.

3.7By paying (part of) the amount due, you agree to these terms.

4. Travel documents and your details

4.1At the latest 5 days before departure we send you your travel documents, for example your flight details and hotel reservation. If you do not have them 3 days before departure, contact us immediately.

4.2Check the travel documents for errors immediately and report errors without delay. Costs of correcting documents because of incorrect or incomplete details from you are for your account.

4.3You usually receive match tickets from our team at departure or on arrival.

4.4You are responsible for a valid passport or identity card and, where needed, a visa and documents about health or vaccinations. Ask the competent authorities for information.

4.5We strongly advise you to take out travel insurance and cancellation insurance. We do not offer insurance ourselves. Taking out insurance and making a claim is your own responsibility.

5. Interpreter and accessibility

5.1On our trips we arrange an interpreter.

5.2If you have specific wishes or needs, for example for communication, tell us when you book. We will take them into account as well as we can.

5.3If the interpreter unexpectedly drops out or there is another obstacle, we will immediately look for a suitable solution in consultation with you. Your statutory rights remain unaffected.

6. Carrying out the trip and rules of conduct

6.1We may engage third parties to carry out the trip, such as carriers, hotels, guides and interpreters.

6.2We provide a travel schedule in which you can reasonably attend the match. You are responsible for arriving at the match on time and for following the rules in the stadium.

6.3For a good trip for everyone we ask you to follow these rules of conduct:

  • Follow the instructions of our team, the interpreter, guides, staff and stewards.
  • Be on time at agreed meeting points.
  • Treat others with respect. Aggression, violence, discrimination and nuisance are not allowed.
  • Drink alcohol responsibly.
  • Take care of the property of hotels, carriers and stadiums.
  • Do not wear the colours of the visiting club in the stadium unless we have agreed otherwise. Our match tickets are usually for the home club's section.

6.4If you cause serious disruption, we may exclude you from (the continuation of) the trip. The resulting costs are for you, insofar as the disruption is attributable to you. You will not receive a refund. You are liable for damage you cause through your behaviour.

6.5If you notice a shortcoming during the trip, tell our team on location immediately so we can solve it.

7. Changes by us

7.1We may change the travel programme or travel times for important reasons that we tell you about as soon as possible. Small changes, such as a slightly different flight time, do not give you the right to cancel.

7.2If something important changes in an essential part of the trip, you may terminate the agreement free of charge within a reasonable period, or accept the change.

7.3If the match is moved, postponed or cancelled, or the match falls outside the travel schedule as a result, contact us. We will help you find a solution.

8. Cancellation by you and replacement

8.1You report a cancellation in writing, by email to info@deaffootballtravel.nl. The day we receive your message counts as the cancellation date. We are available Monday to Friday from 9.00 to 18.00. Messages outside these hours are considered received on the next working day.

8.2You may let someone else take your place. That person must meet all the conditions for the trip. We must receive your request at the latest 7 days before departure and the suppliers (such as the airline) must agree. You pay the actual costs the replacement causes us, for example a name change on the flight, plus 25 euros administration costs. You and the new participant are jointly responsible for payment.

8.3If no replacement is found, you remain liable for the full trip price. If we can cancel the booked components with our suppliers free of charge, or we give your place to someone on the reserve list, you will receive back the amount we thereby do not lose, minus 25 euros administration costs. We make this refund as soon as possible after we receive the amounts.

8.4If there are unavoidable and extraordinary circumstances at or near the destination that significantly affect the trip (for example war or a disaster), you may cancel free of charge, as the law provides.

8.5We strongly advise you to take out cancellation insurance. You make a claim with your insurer yourself. We are not liable for costs if you are not insured.

9. Cancellation by us

9.1If the number of registrations for a trip is below the minimum stated in the offer, we may cancel the trip. We will tell you as early as possible and at the latest 7 days before departure.

9.2Because the availability of match tickets fluctuates, we may cancel a booking up to 3 weeks before departure. You then choose between a full refund or switching to another match, with any extra payment or refund of the difference.

9.3If we cancel the trip under this article, you will receive everything you paid back as soon as possible, at the latest within 14 days. You do not receive further compensation unless the law requires it.

10. Single tickets

10.1If we sell single match tickets, we act as an intermediary between you and the match organiser. There is then no travel agreement.

10.2For single tickets for leisure activities on a specific date, the law provides no right of withdrawal. Single tickets cannot be returned.

10.3If the match is postponed or cancelled, we refund according to the organiser's arrangement. That is the original ticket price set by the organiser and not always the amount you paid us.

10.4If you do not get into the stadium due to circumstances beyond our control, we are not liable for the resulting costs, such as a flight or hotel night.

11. Match tickets, seating and match dates

11.1If you book an even number of seats, we make sure nobody sits alone, unless we state otherwise. With an odd number we do our best. Feel free to ask how seats are divided before you pay.

11.2We may upgrade match tickets to a better category free of charge (category 1 is better than 2, and 2 is better than 3). If we cannot deliver the chosen category, we deliver a lower category and refund the price difference.

11.3The date and time of the match are indicative and may be changed by the organiser. Check yourself that the match starts at the time we indicated. A change of match date or kick-off time does not in itself give a right to cancel. If a rescheduling puts the match outside the travel schedule, article 7.3 applies.

12. Force majeure

12.1We do not fall short in our obligations if carrying out the agreement is not possible, not on time or not properly possible because of force majeure.

12.2Force majeure is any circumstance beyond our control that means we cannot reasonably be expected to fulfil the agreement. This includes, for example, illness, strikes, epidemics, storms, fire, war, riots, road blockades and government measures, and failures of third parties we depend on, such as carriers and ticket sellers.

12.3If we have already delivered part, we may invoice that part separately, unless it has no independent value.

13. Liability

13.1We are liable for shortcomings in carrying out the trip insofar as the law provides. We are not liable for damage caused by you, your fellow travellers or by circumstances we could not foresee or prevent.

13.2Insofar as the law permits, our liability for damage other than bodily injury is limited to three times the trip price. This limitation does not apply in case of intent or gross negligence on our part.

13.3We are not liable for damage caused by misconduct, such as aggression or drunkenness. If you are refused or removed from the aircraft, hotel or stadium because of misconduct, this is at your own expense and you receive no refund.

13.4For transport and accommodation the terms of the carrier and the hotel and the international conventions that apply to them also apply.

14. Complaints

14.1We do our utmost to make your trip go well. If you do have a complaint, tell our team on location immediately or use the contact number we give you before departure. Then confirm your report by email to info@deaffootballtravel.nl.

14.2If your complaint was not resolved during the trip, submit it by email to info@deaffootballtravel.nl within 30 days of your return. The sooner you report, the better we can help. We respond within 10 working days.

14.3Other countries have other standards and customs. On a trip we often depend on third parties, so you sometimes have to adapt.

15. Personal data and photos

15.1We handle your personal data carefully, as described in our privacy statement.

15.2During trips we take photos and videos for reports on our website and social media. If you do not want to be photographed, tell us when you book or later. We remove images at your request as soon as possible.

16. Applicable law and disputes

16.1Dutch law applies to these terms and all agreements with us. If you live in another country, the protection of mandatory consumer law of your country of residence continues to apply.

16.2If we cannot resolve a dispute together, we will submit it to the competent court. A claim does not lapse earlier than the law provides.

17. Changes to the terms

17.1We may change these terms. Your booking is governed by the version that applied on the day you booked. The latest version is always on our website.
